How Ankra collects, uses, protects and retains your personal information (Law 25 (Québec)).

1. Purpose of the policy

Ankra places great importance on the protection of personal information. This policy explains what information may be collected when you use ankra.org or communicate with Ankra, why it is collected, how it may be used or disclosed, the measures taken to protect it, and the rights available to you.

This policy applies to personal information collected in the course of Ankra's activities by technological means, including the website, online forms, requests related to the Health Compass, booking tools when activated, emails and electronic communications.

3. Information we may collect

Depending on how you interact with Ankra, we may collect only the information necessary for the identified purposes, including:

  • identification and contact information, such as your name, first name and email address;
    • information you choose to provide in a form or by email;
      • information necessary to process an appointment or booking request when that feature is used;
        • information necessary to send you The Health Compass or another requested resource;
          • information related to your communication preferences, when you voluntarily subscribe to a publication or request to receive updates;
            • certain technical information related to your use of the website, where such data is generated by the hosting environment, technical logs, security settings or cookies enabled on the website.

            Ankra does not seek to collect more information than necessary. We also ask that you refrain from submitting, through a general contact form, detailed medical information or other sensitive information that is not necessary for your request.

4. Sensitive information

Certain information may be considered sensitive, particularly when it concerns health or other intimate aspects of a person's life. When sensitive information is required in the context of a specific service or process, Ankra applies heightened care to its collection, access, use and protection.

The transmission of sensitive information through a general form or by email should be limited to what is strictly necessary.

5. Why we use your information

The information collected may be used in order to:

  • respond to a request or a question;
    • communicate with you regarding a service, appointment or process you have requested;
      • provide access to or send a resource, including The Health Compass;
        • manage bookings when booking tools are activated;
          • ensure the operation, security and improvement of the website;
            • ensure the administrative continuity of communications;
              • comply with applicable legal obligations;
                • process a request concerning your personal information protection rights.

                Information is not used for purposes incompatible with those presented at the time of collection, unless permitted by law or a new consent is obtained where required.

6. Consent

Where consent is required, Ankra seeks to obtain it in a manner that is express, free, informed and for specific purposes. You may withdraw your consent to certain uses or disclosures, subject to applicable legal obligations and the reasonable consequences of such withdrawal.

When you voluntarily provide information to obtain a response, a resource or a service, it is used to follow up on that request and for the purposes communicated to you.

7. Service providers and disclosure to third parties

Ankra may use technology providers to host, transmit, process or retain certain information necessary for the operation of its services.

Zoho may notably be used for certain forms, administrative processes, communications or booking tools, depending on the features activated at the time you use the website.

Other technology providers may be involved only when necessary for the operation, hosting, security or administration of the website. Ankra limits the information disclosed to what is necessary for their mandate and seeks to govern their use and confidentiality obligations.

Ankra does not sell personal information.

8. Processing or disclosure outside Québec

Certain technology providers may process or retain information in infrastructure located outside Québec. Where a disclosure of personal information outside Québec is contemplated and the law so requires, Ankra assesses the relevant privacy factors and applicable protective measures prior to the disclosure.

The actual technical location depends on the services and configurations used at the time of collection. This policy will be updated if a material change affects the manner in which information is processed.

9. Cookies and technical data

The website may use cookies or similar technologies that are necessary for its operation, security, the retention of certain preferences or, if such tools are activated, the measurement of website usage.

Where an analytics, profiling or advertising technology, or a non-essential feature, requires prior consent or activation, Ankra must implement the appropriate mechanisms before activating it.

The list and operation of cookies must correspond to the tools actually installed on ankra.org. If non-essential tools are added, the consent banner or mechanism must be updated accordingly.

10. Retention and disposal

Ankra retains personal information only for the period necessary for the purposes for which it was collected, or for the period required by law. Once those purposes have been fulfilled and the applicable retention obligations have ended, the information is securely destroyed or, where permitted by law and the applicable conditions are met, anonymized.

Actual retention periods may vary depending on the nature of the request, the service and applicable obligations.

11. Security measures

Ankra implements reasonable administrative, technical and organizational measures, having regard to the sensitivity, volume, purpose and medium of the personal information.

Access to information must be limited to those who require it in the performance of their duties. Despite these measures, no technological system can guarantee zero risk.

12. Your rights

Subject to the conditions and exceptions provided by law, you may, in particular:

  • request whether Ankra holds personal information about you and request access to it;
    • request the correction of inaccurate, incomplete or ambiguous information;
      • withdraw your consent where permitted by law;
        • request, where the conditions are met, your computerized personal information in a structured and commonly used technological format;
          • request, in situations provided for by law, the cessation of dissemination or de-indexing of certain information;
            • file a complaint regarding the management of your personal information.

            Requests must be addressed in writing to the Person in charge of the protection of personal information — Ankra at bonjour@ankra.org. Ankra may need to verify your identity before responding to a request.

13. Complaints

Any complaint concerning the protection of personal information may be submitted to the Person in charge of the protection of personal information — Ankra at bonjour@ankra.org. The complaint will be examined diligently and confidentially to the extent permitted by law.

You may also contact the Commission d'accès à l'information du Québec (Québec's information access commission) regarding your rights and remedies.

14. Links to external websites or services

The website may contain links to external websites or services. The privacy practices of such third parties are governed by their own policies. Ankra is not responsible for the content or privacy practices of an external website merely because a link leads to it.

15. Policy amendments

Ankra may amend this policy to reflect changes in its activities, technological tools, practices or applicable requirements. The date of the last update is indicated at the top of the policy. Where a significant amendment warrants it, an appropriate notice may be posted on the website.
